I was recently asked by one of my coaching clients in our Unstoppable Success Coaching program for a list of things they could put into place to make their staff better time managers. I was told that senior management was expressing some concern over efficiency and was hoping to see some improvements before the end of the quarter.
I asked what kinds of strategies they already had in place and was not surprised to learn that people were left to their own devices when it came to managing the clock. We started our discussion with the need for preparation, where space is clean and organized, tasks are timed, and a calendar program is chosen to handle the projects and deadlines for the organization.
We then talked about three strategies that would have an immediate impact on the team.
- Batching – Where all tasks of a similar nature are grouped and handled together for a specific period of time.
- Control of Phone, IM and Email Communication – Affording the employees the chance to focus and work uninterrupted to advance or complete tasks.
- Establishing the 2-Minute Rule – Where it is established that if a task can be completed in 2 minutes, it should be handled immediately. If not, note what the next logical step is to complete the task and set it aside for follow up.
One of the best things a coach can do for someone is to give them the time and space they need to focus. We live in a world where value is place on speed, but quality is what keeps our customers coming back for more, and customer retention is what makes us profitable.
